Three taps from a label to a record

The whole point is that building the inventory takes an afternoon, not a project.

Scan the tag

Reads GS1 and HIBCC barcodes — the two formats that carry a UDI — plus the raw serial and lot numbers packed inside them. If a label is too worn or too curved to scan, type the identifier instead.

Identify the product

The identifier is looked up in AccessGUDID, the U.S. FDA and NLM public device database. Back comes the brand, the labeler, the model and catalog numbers, and whether the item has to be sterilized before use.

Photograph what matters

Keep a picture of the label so the serial number is still readable in three years, plus photos of the unit and its accessories. Photos are downsized and re-encoded, which strips the location data off them.

Attach the manual

Drop in the PDF the manufacturer sent. BiomedPortal pulls out the sentences that matter — service intervals, replacement parts, torque values — and pins them to the device so nobody has to reread 90 pages.

Know what needs sterilizing

Where the manufacturer has declared it, the record carries the sterilization requirement and the accepted method — steam, EO, radiation — straight from the labeler's own GUDID submission.

Back it up on your terms

One passphrase produces one encrypted file. Put it on the practice drive, a USB stick, wherever you already keep things. Restoring only ever adds — it never overwrites or deletes what is already on the phone.

It stays on the phone. That is the product.

Most inventory tools are a cloud database with an app attached. This one is the other way round, on purpose.

Why this matters beyond principle. A photograph taken inside an operatory can catch a chart, a monitor, or a screen without anyone intending it. Keeping every image on the device means BiomedPortal never becomes a place where that ends up — and never becomes a vendor your practice has to paper over with an agreement.

Twelve operatories, four autoclaves, a cupboard of handpieces. Walk the building once with a phone and the equipment list exists — with a photo of every label and the sterilization requirement already attached.

A surgery centre

Capital equipment that predates any barcode standard sits alongside items with a clean UDI. Both are first-class here: if the FDA database has no record, you name the device yourself and it is still a real entry.

At home

A CPAP, a concentrator, a nebulizer and their supplies. When the DME company asks for a model and serial number, you read it off the phone instead of crawling behind a nightstand with a torch.

Straight answers

Is this a medical device?

No. BiomedPortal is an equipment inventory and asset-tracking tool. It does not diagnose, treat, monitor or measure anything about any person, it holds no patient information, and it makes no clinical claim of any kind.

What happens if I lose the phone?

Whatever you have backed up is what you get back — so make a backup file early and keep it where the practice keeps things. There is no server-side copy to fall back on, and that cuts both ways: nobody can take your inventory, and nobody can recover it for you either. The app is deliberately blunt about this on the backup screen.

What if I forget the backup passphrase?

The file cannot be opened. Not by us, not by anyone. The passphrase is never stored anywhere; the encryption key is derived from it each time. Write it down somewhere durable.

Does it work without an internet connection?

Everything except the product lookup. You can scan, photograph, attach manuals, search and back up entirely offline. The FDA lookup needs a connection, and when it fails the device is still saved — you can fill in the make and model yourself and retry the lookup later.

Where does the product information come from?

AccessGUDID, the public Global Unique Device Identification Database run by the U.S. National Library of Medicine for the FDA. The records are submitted by the device labelers themselves. BiomedPortal is not affiliated with, endorsed by, or connected to the FDA, NIH or NLM in any way.

Can several people share one inventory?

Not in this version. One phone holds one inventory. A backup file can be restored onto a second phone, which is a reasonable way to hand an inventory to a colleague, but the two do not stay in sync afterwards.

What does it cost?

Pricing will be shown on the App Store listing at launch. There is no subscription and no per-device charge — there is no server to pay for.
